Job Title:   Events Coordinator

Department:  Administration

Job Overview/Purpose:

The Events Coordinator is responsible for organizing and overseeing a wide array of organizational and community events, ranging in size and objectives. Working closely with internal teams, external vendors, and clients, their responsibility is to ensure that events meet or surpass expectations while aligning with the organization's goals.

Duties:

Provide Administrative support to internal programs and committees as required.

Responding to inquiries from the public regarding events, photocopying, invoicing, creating purchase orders, and related matters.

Manage the distribution of invitations and other materials to band members through mail-outs.

Order and manage inventory of Haisla gifts and merchandise, ensuring they are readily available for gifting or purchase purposes.

Organizes arrangements for delivering cards and flowers to bereaved families in the community, unwell employees, and those on prolonged medical absence.

Flexibility in scheduling is required, as this position may entail occasional evening and weekend work, with time adjustments as needed.

This position will involve travel to events as needed.

Acquire a comprehensive understanding of the specifications for each event.

Meet with employees, departments, committees, organizations, and executives as needed to discuss and strategize event details including scope, format, budget, logistical arrangements, and any unique needs.

Negotiate contracts with venue personnel, caterers, hospitality staff, and other vendors to acquire necessary services and activities for events while meeting budgetary objectives.

Coordinate logistics for events including, but not limited to, booking venue/facility, sending meeting invites, arranging catering, arranging venue/facility set-up and clean-up.

Collaborate with the Communications Coordinator to guarantee successful promotion and maximize attendance.

Occasionally gather feedback from clients, attendees, and internal teams to assess the success of events.

Provide day-of-event support such as: Coordinate the set up and maintenance of equipment including microphone, lap top computers, projector, etc. Meeting caterer at venue/facility.

Speaking engagements may occasionally be expected of an events coordinator during events.

Other related duties as assigned.

Qualifications:

Grade 12 diploma, plus a minimum of three years office experience is required.

Business Technology Certification or equivalent preferred.

Proficient in Microsoft Office.

Detail-oriented and reliable with good time-management skills.

Exceptional organizational and office management skills is required.

Excellent interpersonal and communication skills is required.

Able to work well individually and in a group.

BC Drivers license and own vehicle is an asset.

Willing to provide a criminal record check.

Direct experience working with First Nations is preferred
