Position Title:     Youth and Family Services Administrative Assistant

Reports to:          Director of Child and Family Services

            

 

Job Overview

The Assistant represents a key operational role within the Haisla Nation Council and supports the Director of Child and family Services with administration, scheduling, correspondence, and meetings. This role takes responsibility and ownership of project management, confidentiality, and essential documents and files.

The Community Operations department ensures the Haisla Nation community thrives in a safe, secure, and well-maintained environment by delivering essential public services, maintaining critical infrastructure, and safeguarding the health and safety of all community members.

Duties & Responsibilities

  • Provides administrative support to the Director of Child and Family Services
  • Planning, organizing and coordinating administrative functions;
  • Planning, Coordinating and implementing quality management initiatives;
  • Scheduling meetings and conference calls;
  • Preparing correspondence and departmental forms;
  • Maintaining filing system;
  • Act as the liaison for staff and community members regarding the day to day tasks and events;
  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings;
  • Maintain calendar for Director of Child and Family Services, schedules and meetings as needed;
  • Manage complex and highly confidential information;
  • Other duties as directed by Director of Child and Family Services

Skills & Qualifications

  • College Diploma or certificate in Office Administration;
  • Two or more years of executive support;
  • First Aid, Level One, preferred;
  • BC Driver's License and own vehicle is an asset;
  • Experience in organizing meetings and travel;
  • Experience in working with Aboriginal communities is an asset;
  • Excellent people management and facilitation skills;
  • Direct working experience with First Nations;
  • Excellent writing, research and computer skills, including proposal writing;
  • Applied experience in financial management, including contracts and budgets;
  • Knowledge of Indian and Northern Affairs Canada policies and procedures, Human Rights legislation, and Labor Canada regulations.
