Position Title: Capital Projects Coordinator
Reports to: Manager, Capital Projects & Asset Management
Job Overview
Reporting to the Manager, Capital Projects & Asset Management, the Project Management Coordinator – Capital Projects is responsible for supporting the planning, execution, and management of capital projects within an organization. This role involves working closely with cross-functional teams, managing project schedules, budgets, and ensuring that projects are completed in alignment with organizational goals. The coordinator ensures that all project documentation is organized, maintains communication with stakeholders, and provides administrative support throughout the project lifecycle.

We are about 2023+ people, with approximately 700 living in Kitamaat Village. We have lived off the land and waters of our traditional territory for thousands of years, and it remains the focus of all we do.
Duties & Responsibilities
- Project Planning & Coordination:
- Assist in developing project timelines, budgets, and resource allocation plans.
- Coordinate with stakeholders to define project scope, objectives, and deliverables.
- Track project milestones and performance, ensuring adherence to timelines and budget constraints.
- Documentation & Reporting:
- Maintain detailed records of project activities, including meeting notes, project updates, and change orders.
- Prepare and deliver regular status reports to senior management and stakeholders.
- Ensure compliance with all regulatory, safety, and company standards for documentation.
- Budget & Resource Management:
- Assist in managing the project budget, including tracking expenses, and forecasting cost variations.
- Support procurement efforts, including managing contracts and purchasing materials or services.
- Collaborate with other departments to ensure resources (personnel, materials, equipment) are allocated appropriately.
- Stakeholder Communication:
- Serve as the primary point of contact for project updates between project teams, clients, and stakeholders.
- Organize and facilitate project meetings, ensuring effective communication and timely decision-making.
- Resolve project issues and escalate concerns when necessary.
- Risk Management:
- Identify potential risks and assist in developing mitigation strategies.
- Monitor ongoing projects for risk factors, delays, or challenges that may impact the project's success.
- Coordinate problem-solving activities with appropriate team members.
- Vendor & Contractor Management:
- Coordinate with external vendors, contractors, and consultants to ensure project milestones are met.
- Track and verify the performance of vendors, ensuring quality and compliance with project specifications.
- Compliance & Safety:
- Ensure that all capital projects comply with local, state, and federal regulations, as well as company policies.
- Assist in monitoring safety protocols and procedures, ensuring that safety standards are maintained on project sites.
Skills & Qualifications
- Degree or Certification in Project Management, Engineering, Business Administration, Construction Management, Planning or a related field.
- Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project).
- Basic understanding of project management principles and methodologies.
- Ability to work both independently and as part of a team.
- Detail-oriented with strong analytical and problem-solving abilities.
- Familiarity with project management software (e.g., MS Project, Primavera) is a plus.
Work Environment
- Primarily office-based, with occasional site visits.
- Collaborative team environment, working closely with project managers, engineers, and other stakeholders.
